How we know when a policy renews

We don't — not exactly. Nobody outside the carrier does, and any vendor who tells you otherwise is selling you something.

What we do know is when the home was purchased, because closing dates are public record — and home policies typically renew on the closing anniversary. We model the renewal month from that. Most of our outreach lands inside the 30–45 day window. Not all of it. A policy that was rewritten mid-term drifts off its anniversary, and for those homeowners the email arrives early or late instead of on time.

When it does, the email is still a relevant note from a local agency to a homeowner who pays for insurance — and the ones who reply are still shopping. We'd rather explain how the model works than pretend we have carrier data nobody sells.
